Needs Assessment Meeting with Stakeholders

Hello everyone, my name is —. The purpose of this video is to explain the summary of the meeting held with the stakeholders regarding the informatics change in Vila Health. I am a project manager and nursing informatics nurse at Vila Health and we had a meeting with the five stakeholders to identify the need for change in the information technology of the healthcare system. Due to emerging technologies and the increasing trends in informatics, it has become essential for healthcare providers and organizations to integrate technologies that will improve the performance of the staff in healthcare facilities and enhance patient outcomes for the betterment of the reputation of the healthcare facility (Javaid et al., 2024). This video will define the results of the meeting with stakeholders along with the further improvements that need to be made in the healthcare system.

Introduction

I am tasked with implementing the changes in the information system of Vila Health with efficiency and sustainability. The change is needed to ensure that the organization is effectively fulfilling the patient requirements with great proficiency and maintaining the proficiency of the system by integrating advancements (Harrison et al., 2021). The basic need for the change is to improve access to health and safety for the population from any geographic location and provide facilities to the healthcare providers for the increase in their competency regarding providing the best healthcare services to the patients. This integration and change will also improve the overall reputation and outcomes of the healthcare organization. The completion period of the project will be seven to eight months including all the training sessions, workshops, and interdisciplinary collaborations.

Need of Change

The vulnerability of older adults to chronic diseases and the increase in pandemics is the basic purpose regarding the specific change in the healthcare information system of Vila Health. The change will ensure that the effective quality of treatment will be provided to the patients to ensure positive health outcomes and increase the efficiency of the staff members in Vila Health for the betterment of the overall healthcare organization (Bhati et al., 2023). The change in Vila Health will be effectively implemented within a few months in all the staff will be prepared for the efficient use of the technological change to improve the outcomes of the patients.

Questions and Explanation

Assess the Current Situation and Desired State of the Information System

The current information system of health needs changes that were identified in the meeting with the stakeholders from the perspective of the healthcare providers and the nursing staff. They have complained about the inability of the current system to keep track of the health of the patients which is affecting their health badly and the limited communication system between patients and staff members. The inability of the healthcare providers to effectively communicate with the patients creates a lack of updates about the health situation of the patient which ultimately results in missing information regarding the patient’s health condition follow-ups and it will create delays in the treatment of the patient (Tiwary et al., 2019). The delays will lead to damaging health situations which will not be controllable for the healthcare providers. This uncontrollable situation will create health disparities leading to deaths thus the severity of the situation can be analyzed from this perspective due to which the change is necessary to be implemented. The cost management system is also enhanced at the Vila Health system due to the increase in the efficiency of data access to the healthcare providers and the decrease in the errors in the prescriptions.

Improved Suggestions of Stakeholders

From the perspective of stakeholders the existing system of healthcare information technology in Vila Health can be improved by implementing proper technologies for the better cause of improving the outcomes of the patients and increasing the rate of health success of the organization. The updated systems will be effective in providing quality care to patients timely without any delay which will prevent much health damage and increase the life span of the patients (Hannawa et al., 2022). The necessary resources need to be available for the effective implementation of the technology in clinical practice.

Assess and Define the Risks

The existing healthcare system of Vila Health lacks a remote patient monitoring (RPM) system and individual portal for each patient to keep the information of the patient updated and share it with the healthcare providers and patient both for the effective monitoring of the health of the patient (Serrano et al., 2023). It has been identified by the nursing staff and healthcare providers of eth Vila Health that in normal situations the clinical setting is effectively managing the patients based on the severity of their health condition. At the time of the pandemic, covid-19 the effectiveness of Vila Health was greatly impacted by the worsening patient conditions and the increase in the rate of hospital admissions due to the deteriorating health situation of the patients. People who belong to isolated geographic locations and have limited access to healthcare facilities are more vulnerable to all these diseases. Moreover, another major issue identified by healthcare providers is the inability of the staff to keep updates regarding the patient’s health condition, and regular monitoring of the patient’s chronic disease prevalence results in health disparities that need to be prevented at any cost for the betterment of the healthcare organizations and the positive patient outcomes.

Lack of Effective Patient Monitoring Systems

Moreover, the lack of RPM creates severe health issues for patients who belong to isolated locations and have limited access to healthcare facilities (Vudathaneni et al., 2024). It will create a delay in the treatment of the patients, leading to health disparities and an increase in the severity of the health situation of the patients. Access to care is the fundamental right of every individual. It is the responsibility of healthcare organizations to integrate effective systems that will improve the provision of care and safety to the people irrespective of their geographic locations.

Define Information System User Best Practice

Technology integration in the healthcare facility is the most important need of the time due to the increasing rate of health difficulties and the urgent requirement for the prevention of health issues. It has been evident that the integration of RPM improves the health outcomes of the patients by providing early access to health services and the timely intervention of the nursing staff and healthcare providers in the prevention of health damages thus increasing the life span of the patients (Coffey et al., 2022). This system will allow the continuity of the treatment provided to the patients in the case of isolated geographic locations or any pandemic situation leading to the shutdown of basic healthcare facilities. Most of the time people are unable to visit the hospitals and sometimes the severity of the situation does not afford delays due to which the advanced RPM system sare integrated to effectively recognize and respond to the health situation of the patients.

Early Intervention of Healthcare Providers

The RPM integration in the clinical setting allows the patients to regularly monitor their health situation and report early to the healthcare providers in case of any health disparities. Chronic diseases like diabetes and hypertension need regular assessment of the levels of blood glucose, blood pressure, and A1c for the appropriate intervention of the healthcare providers to improve the management plan and change the medications according to the requirements of the patient’s health situation (Sugandh et al., 2023). This early intervention is only possible by the use of RPM in the real-time setting thus helpful in preventing health disparities.

Effectiveness of Patient’s Self-Management 

The patient portals help patients regularly identify the status of their health situation through the information updated by the healthcare provider after the follow-up of the treatment and self-management plan provided to the patient (Carini et al., 2021). The patient portals increase the efficiency of the patients in managing their lifestyles, routines, and medications for positive outcomes of health and effective integration of technology in the healthcare setting. The patient portal also helps the staff members identify the needs of the patient regarding the treatment and, management plans provided to them for the well-being and satisfaction of the patient which is the most important factor in improving the health outcomes of the patient.

Technology Functionality

The functionality of technology can be made understandable for the patients and the healthcare providers most importantly stakeholders by educating them through training sessions and workshops (Javaid et al., 2024). The proper applications of the RPM and patient portal system need to be installed in the personal device of the stakeholder to identify the effectiveness of the technology implemented in the context of improvement in the health status of the population. The basic functionality of the technology is given as follows;

Workflow Improvement 

The workflow of the nursing staff and the healthcare providers has been improved after the implementation of the RPM as it will provide the facility to remotely monitor the health situation of the patients and timely respond to deteriorating health conditions thus preventing emergencies and health damages which allows the smoothness of the treatment provided along with the effectiveness of the staff in enhancing the level of patients satisfaction and well being (Coffey et al., 2022). This early response and intervention increase the staff efficiency in providing high-standard health services to the patients along with enhancing the overall dignity of the healthcare organization.

Enhancement in Communication

 The communication between the healthcare providers and the patient increases due to the real-time monitoring facility of the RPM (Ko et al., 2023). It allows the patients to connect with their case managers at any time of the day as it ensures the time availability of the healthcare services for teh early identification of the warning health situations and timely prevention of health damages. The patients will be able to report early through the use of RPM and provide feedback regularly regarding their health situation for the change in the medications and the self-management plans.

Centralized Data Access

The integration of patient portals in the healthcare setting ensures effective access to data timely for the better response of the healthcare providers regarding the change in the health situation of the patients (Dendere et al., 2019). The centralized individual patient portals ensure the effectiveness of the treatment provided to the patients by keeping the data updated at the same location for easy access of the patients for the self-management of their updated health situation and increasing the effectivity of the treatment provided for the improved response of the patients.

Practice and Outcomes

The emerging health technologies make it the need of time to integrate informatics and information technology in the clinical facility for better health outcomes for the patients. Technology can provide easy access to care to people who are more vulnerable to diseases along with those who are unable to visit hospitals for their checkups regularly (Haleem et al., 2021). This problem in the healthcare organization can be resolved using RPM which provides the facility for the early identification of the health disparities and provides timely intervention for the improved health outcomes of the patients. This advanced technology helps the patients effectively communicate with the healthcare providers to inform them regarding their health situation and provide them the early treatment that will be helpful for preventing the health damage and increasing the positive health outcomes of the patients. Patients with chronic diseases need regular monitoring of their health situation and this can be effectively provided to the patients using contactless monitoring systems which allow the early detection of the problem through the remote system without the physical presence of the patient. This technology intervention increases the staff’s efficiency in timely handling of the health disparities and improving the response of the patients regarding the care coordination provided to them.

The information system of Vila Health needs improvement due to the increasing health problems of the population and emergencies of the pandemic. The current system at Vila Health is unable to keep track of the patient health information due to the lack of RPM and patient portals which leads to the delays in the treatment of the patients thus creating health disparities. Therefore in a meeting with stakeholders, the need for informatics is identified by the healthcare provider and the nursing staff which is targeted to be implemented during the time of seven to eight months. For the effective implementation of the technological change in the system, the risks related to the existing system were identified, and new interventions were defined along with the assessment of the functionality of the technology in improving the response of the patients and providing high-quality healthcare services to the patients (Popescu et al., 2022). The implementation of healthcare technological interventions ensures the positive health outcomes of patients along with the improvement in the reputation of the healthcare organization.
